1. Overview
Taitori Provider is an online product and catering reservation system. Taitori Provider often complements Taitori's room reservation system (Taitori Reserve), allowing users to order catering for their meetings while booking the meeting room. In addition to meeting catering, the products that can be ordered may include items like towels for sauna reservations or day passes for co-working spaces. Products can be ordered through:
- Taitori's web-based application (https://app.taitori.fi or a customized customer specific address)
- Taitori's mobile app (available for download on Google Play and AppStore)
- or via Outlook using Taitori Smart Office Add-in.
Product and catering orders can be made in various ways, and the service provider defines which options are available to customers:
-
In connection with room reservations: Users can place catering orders while booking a space for an event or meeting. This allows them to conveniently include the catering order as part of their reservation. If necessary, the catering orders can be restricted to certain reserveable spaces only.
-
Pickup: Customers have the option to order catering items for pickup from the restaurant or shop. They can choose the items they want and collect them at the specified time.
-
Delivery to a location of choice: Users can also request catering items to be delivered to a location of their choice without a room reservation. This enables customers to order catering for spaces that are not included in the reservation system.
End users place product orders from the sales catalog to which they have access. Multiple product catalogs can be created if different user groups require different product selections and delivery methods. Individual products are categorized into product groups (e.g., breakfasts, beverages, lunches) and eventually published in the product catalog for sale.

2. User roles
The main user roles in the service are as follows:
- End User (product orderer): The basic users of the app who place orders.
- Service Provider (e.g., Kitchen Staff): Users in this role are responsible for producing the catering services.
- Administrator (Main User): The administrator is responsible for product management.
Often, the same individuals handle the last two roles. End users are granted access to the sales point and product catalog as basic users (or assistants, in which case they have the right to place and modify orders on behalf of other users within the same user group).
Users responsible for catering delivery require at least employee-level access rights to have visibility into all orders and make necessary changes when needed. Users involved in product management need at least administrator-level access rights.
3. User interfaces
A. Taitori PORTAL (Product management, user management, and reports)

Taitori PORTAL is a website for administrators to manage the sales point and products. Additionally, the portal provides access to sales and product reports, as well as user management. You can log in to the portal at https://portal.taitori.fi/provider. It's recommended to bookmark the link in your browser for easy access.
Taitori Provider is managed through the Shop page, accessible from the navigation bar (see image 2). The navigation bar also contains links to Taitori application, Reports, and Settings, where you can find user management and customer community information and settings.
B. Taitori Application (Orders and Order Management)
Image 3. Taitori Application.
Taitori Application (web or mobile app), serves as the order channel for end users and as the order management channel for the catering production team, such as the kitchen staff. End users can place catering orders through Taitori App or Taitori Smart Office add-in in Outlook.
To access the application, users can log in at https://app.taitori.fi. On the "Orders" page, orders are displayed in a versatile table format or, alternatively, on the "Timeline" page which is a schedule-like view. In the timeline view, users can also choose to display room reservations, allowing them to track reservations even if catering has not been ordered to them. More detailed information on order management is provided on 7. Order management.
