- Once you have found a suitable room and you are now on the Booking confirmation page, it's time to add the guests as participants to the booking. Guests will receive arrival instructions and a participant code for check-in.
- Scroll down the page a bit to find PARTICIPANTS. Click to expand the section and add guests:
A. You can add guests individually by entering their email address first and then clicking "Add a participant".
B. You can add multiple participants at once by activating the "Add multiple participants at once" function. Copy participants' email addresses from the recipient field in Outlook and paste them into Taitori as text (see image below). Finally, click "Add Participants."
C. You can also add a guest without an email address, but in this case, an invitation and arrival instructions cannot be sent. However, the reception service will be notified of the arriving guest and can prepare, for example, a visitor badge. - You can assign a role to each participant. Usually arrival instructions and participant codes will only be sent to visitors, but this may vary depending on your organization's settings.
- You can also remove or edit participant information as needed (e.g., add a car registration number or additional details for reception staff).
- After adding all participants, review the booking details again and, if desired, request catering services.
- Finally, confirm the reservation.
Many guests?If you have a large number of guests and adding them individually to the booking seems heavy, you can import the guests all at once using a CSV file. Complete the room reservation first, and then follow this guide to import guests in bulk into the system. |
