With this guide, you will learn how to place a product order (e.g., catering) either as a pickup order or without a space reservation in Outlook Add-in. If you are booking a space on Taitori, we recommend placing the order together with the space reservation. Please note that the service provider determines the allowed ordering methods, so you may not see all options available with your account.
1. Start by creating an Outlook invitation
Start by creating a calendar invitation in Outlook for the desired time and add a title, participants, and agenda. If you use Outlook Room Finder for room booking, please book the room now as well.
2. Open Taitori Add-in
Click the Smart Office button on the toolbar. If the button is not visible, find Taitori by clicking the toolbar button that has three dots.
Taitori will open in the same window.
3. Select the service provider from the Browse page
Click on the quick selections for Restaurants or Shops to display the service providers. Click on a service provider to see more details. You can also add the service provider to your favorites by clicking the heart icon.
If you don't find any service providers, you can reset the filters once to ensure that there are no limiting search criteria left in the search.
>> Proceed to place an order by clicking on Order by the service provider you have selected.

4. Choose the delivery method
Next, on the following page, select the delivery method. If delivery is selected, the place and time will automatically be imported from the Outlook invitation. Please note that the available delivery methods vary depending on the settings defined by the service provider.

5. Add products to your cart
Browse products by opening different product categories or use the search function. Set products as favorites using the heart icon so you can find your favorite items more quickly next time.
You can add products to your cart in two ways:
- The quick way is to click the + button next to the product until you have the desired quantity.
- You can also click on the product card to see more information about the product. Once the product card is open, you can choose the delivery time for each product and provide additional details if needed. Specify the quantity of the products and finally add the product to your cart.
Tip! Product-specific delivery times allow you to plan catering for events lasting the whole day. For example, you can order coffee at the beginning, lunch at noon, and afternoon coffee for the afternoon. You can also add product-specific delivery times later when reviewing your cart. If you don't select later delivery times for the products, the delivery time for the products will automatically be the same as defined above.

6. Check the contents of your cart under "Order items"
After you have added products to your cart, scroll down and review the contents of your cart. At this stage, you can still edit quantities, remove items, choose later delivery times, or add additional notes for the products.
7. Complete the order summary
Provide the number of attendees for the event and optionally write any additional information related to the entire order (e.g., food allergies). You can also provide alternative contact information (e.g., phone number).
8. Complete payment and billing information
Select a payment method and fill in the billing details. Tip! If you frequently use the same billing information, you can expedite the ordering process by saving default billing details in your settings under My Information -> Community. You can access settings through the profile icon.
9. Confirm the reservation
Confirm the order by clicking Order products.
Now the order has been confirmed, and you will receive a confirmation email for it. You can close Taitori Add-in and sent the Outlook invitation. If you need to make changes to the order, just open the same calendar invitation from Outlook and open Taitori Add-in again.
