User group settings define who has access to Taitori, to which spaces and stores and with which level of access rights. The user groups can for example be Taitori Internal, Taitori External, and Taitori Visitors. For business parks, each company can have their own user groups, e.g. Company x, company y etc.
When user groups are defined, the admin user gives user groups access to certain premises, desks, restaurants. This makes it possible to for example give the users from Taitori internal the right to reserve a room from anywhere around the premises while the users from Taitori visitor can only reserve certain rooms. The access rights to a user group can be defined from location to room level.
Individual users are created and invited to a user group by email and the level of access can be defined separately for each user. The current available access levels are: No access, visitor, basic user, assistant, worker, administrator and owner.
How can I manage user groups and access levels?
User groups can be managed at https://reserve.taitori.fi (Taitori admin page). You need to have the access level of owner to be able to manage users. Owner can invite new users (e.g. new employees) or remove access from a former employee etc. If you need help, contact Taitori support at support@taitori.fi.

Create a new user group
The user groups will be first created by Taitori when the system is deployed for the first time. If you wish to create more...
- Log in at https://reserve.taitori.fi with owner credentials.
- Go to settings ()and click User groups.
- Click Add a new user group, name the group and save.
Create a new user or invite user to a user group
When you want to give a user access to Taitori, you first need to choose to which user group the user will be created/invited.
- If the user doesn't have Taitori account yet, a new user will be created to a user group.
- If the user already has a Taitori account (e.g. they have used Taitori before and possibly rented some of Taitori's public locations), they will be invited to a user group.
Create a new user (the user has never used Taitori before and has no Taitori account))
- Log in at https://reserve.taitori.fi with owner credentials.
- Go to settings ()and click User groups.
- Click the user group you wish to create a new user to.
- Click Users and then Create a new user.
- Fill in email, first name, last name and the access level.
- Save.
- The user will get an invitation to Taitori and they can start using Taitori.
Invite an existing user to a user group (The user has a Taitori account)
- Log in at https://reserve.taitori.fi with owner credentials.
- Go to settings ()and click User groups.
- Click the user group you wish to invite a new user to.
- Click Users and then Invite users.
- Fill in the email(s) and choose the access level.
- Click Send an invitation. The system will send the user(s) an invitation link to Taitori which must be accepted in 10 days.
Remove access from a user
- Log in at https://reserve.taitori.fi with owner credentials.
- Go to settings ()and click User groups.
- Click the user group from where the user will be removed.
- Click Users and then click the user you wish to remove. Use the search if necessary.
- Click Change and then Delete.
Change the access level of a user
- Log in at https://reserve.taitori.fi with owner credentials.
- Go to settings ()and click User groups.
- Choose the user group and click Users.
- Click the user you wish to modify. Use the search if necessary.
- Click Change and make changes to the access level.
- Save.
