For larger events and meetings, it's most efficient to import participants into Taitori using a CSV file. This enables reception services to manage visitor check-ins with bulk printing capabilities and send arrival instructions and participant codes to a large number of attendees at once.
Participants are linked to the room booking, so you must complete the room booking first to add participants in bulk. When importing participants, you can choose whether to send them invitations with arrival instructions or simply add them for bulk printing purposes.
- Book a space first, confirm it and then go to Bookings page.
- Click the booking you wish to add participants to. Using filters or the search can help you find your booking.
- Click Participants and scroll down to Imports of participants.
- This is where you upload the CSV file of the participants. Find instructions for the CSV file below.
Once you've selected the CSV file from your computer, you'll see the number of participants. Choose whether to send invitations with arrival instructions to the participants. Finally, click "Start Import."
- After importing participants, you will receive an email report from Taitori summarizing the import process. Check this email for any issues encountered during import. You can also view the participants on the "Participants" page list. Manually update the list by clicking the arrow icon.
CSV file requirements
You can download a template for the participants here. The file includes columns email, firstname, lastame, mobile, company, profession, role, invitation. The mandatory columns are firstname, lastname, role.
Note! Save the CSV file in UTF-8 format.
How to fill in the cells?
- email = email (e.g. tiinatestaaja@taitori.fi)
- firstname* = first name (e.g. Tiina)
- lastname* = last name (e.g. Testaaja)
- mobile = phone number in international format (e.g. +358401234567)
- company = company (e.g. Taitori Oy)
- profession = profession (e.g. Software Developer)
- role* = visitor, interal or host (The default is visitor.)
- invitation = yes or no (Do you want to send the participant a Taitori invitation or not? The default is no.)
